Your Guide to Planning a Marching Band Field Trip

Traveling with students can be a rewarding and enjoyable experience if properly planned out. As with many things, organization, flexibility, and communication are the keys to success! The following suggestions may prove helpful in planning a one-day trip:
Obtaining School District Permission - Secure and complete the appropriate field trip forms required by the school, receive permission from the administration, and place the date on the school calendar being sure to avoid testing and student holidays.
Securing Bus Transportation - Make sure your bus company is on the approved transportation list for your school district, and order buses early as many dates fill up quickly.
Developing the Itinerary - Establish and distribute a tentative itinerary with approximate arrival and departure times, and consider the following items as you plan: For meals allow enough time and make sure to make prior arrangements with all restaurants, even fast food establishments. If your group is large you may want to consider sending buses to several locations to save time. Also consider rest stops, warm-up and performance times, changing facilities or other arrangements, side trips, and awards ceremonies.
Creating the Budget - 1. Develop a budget that includes transportation cost, festival fees, park tickets, chaperones, and meals as appropriate. 2. Establish a student payment schedule. 3. Determine fundraising activities 4. Make arrangements with the administration for any students who may have financial difficulties.
Chaperones - Secure the number of chaperones as required by the school district. Develop a chaperone packet with descriptions of specific duties and assignments, and assign chaperones for loading crew, stage crew, attendance, and first aid duties. Designate a central location where students are to report for check-in or may report if they are ill or have a problem. It is also a good idea to plan a chaperone meeting before the trip.
Communication - Student itinerary should include departure and arrival times, destination, warm-up time, performance time, meals, awards ceremony, dress, method of payment, and the amount of money needed. Collect...
